*** JOB LOCATION
Please note that job location: Thua Duc Ward, Binh Dai District, Ben Tre Province
*** JOB PURPOSE:
• Planning and managing the overall administration of MKW office.
• Coordinating and supporting Admin teams at other Gulf entities in Vietnam.
*** PRINCIPLE ACCOUNTABILITIES:
I. Planning and managing the day-to-day operations of the Admin function including:
1. General administrative services
a. Office premises & facilities management
• Following up on Lease Agreement with the office building
• Overall managing the office premises to ensure efficient and smooth operation
• Scheduling and monitoring of office maintenance/repair work (aircon, lights, utilities)
b. Office supplies
• Office equipment and services
• Stationery
• Printing
• Daily sundries & catering items
c. Outsourcing services management
• Car rental contracts and daily schedule
• Cleaning service contract and supervision of daily cleaning work
d. Courier service
• In-coming mails receipt and distribution
• Out-going mails delivery
e. Business travel bookings
• Air tickets
• Transportation (company cars/car rental)
• Hotels
• Assisting travelers on expenses claims
f. Asset management
• Assets at office premises
• Assets at staff accommodation premises
• IT assets (in coordination with IT Officer)
2. Procurement
• Equipment / tools / spare parts and professional services for PMU and O&M teams
• Office equipment
3. Accommodation for expat & local staff
• Hotel contracts
• House lease contracts
4. Events/parties organization (coordination with HR)
• Company events
• Internal parties
5. Admin budget and expenses
• Assisting PM to prepare annual budget for admin expenses and control the actual expenses to be under the budget.
• Manage the frequent payments for office expenses: office rental, internet, utilities, office equipment, car rental, accommodation, etc.
6. Supporting CR, CSR Activities
• Participating to assist in CR, CSR activities
• Supporting in procurement and payments
II. Assisting line manager in developing and improving administrative systems and procedures.
III. Ensuring admin filing system is maintained sufficiently and up to date.
IV. Preparing the regular and ad-hoc reports on work progress as assigned by the Company and/or line manager.
V. Managing/handling other ad-hoc tasks assigned by line manager.

Yêu cầu công việc

*** EDUCATION & EXPERIENCE REQUIRED:
• Bachelor’s degree in business administration, management, or a related field.
• Minimum 03 years’ experience in administration, especially in multinational companies.

*** SKILL/ABILITY REQUIRED:
• In-depth understanding of office administrative standards, policies and procedures.
• Good experience in property and asset management.
• Strong experience in procurement, vendor management and supply market.
• Ability for budget planning and control.
• Ability to plan for and keep track of multiple projects and deadlines.
• Good interpersonal, verbal and written communication skills.
• Strong customer-service mindset and can-do attitude.
• Proficiency with computers, especially MS Office.

• Goal-Oriented, Unity, Learning, Flexible.
• Experience or knowledge in secretary/IT is preferable.
